Purpose: The primary purpose of this role is to coordinate key administrative and operational tasks such as transportation, attendance, and reception duties.
Key Responsibilities:
Administrative, Reception and Communication
Responsible for primary phone coverage.
Greet all visitors and announce to appropriate party.
Ensure all guests sign in and out on iPad and print visitor’s badge.
Provide professional observers with information needed for their visit (i.e., classroom locations, teacher, and student schedules).
Assist students when needed (i.e., late passes, misplaced an item).
Manage all information about student attendance, transportation, sports transportation, early dismissals, & homework requests and communicate to appropriate parties.
Ensure students leaving early are signed out on iPad. Contact students when parents have dropped off items (i.e., sports equipment, backpacks)
Ensure that staff receive messages (telephone, email, fax, face-to-face) promptly and
Handle questions and provide information about EHS including the daily athletic
Have a pleasant and welcoming manner for all interactions with all
Coordinate tasks related to school re-opening and parent
Check and log incoming packages.
Make weekly student birthday passes.
Transportation
Collect and maintain transportation plans for all students throughout the
Coordinate all matters related to transportation from districts and collect rosters as needed, including but not limited to, parent organized transportation companies.
Create and maintain a carpool database for families who do not utilize
Record daily transportation changes from parent emails, voicemails, phone calls, transportation plans, and notes handed in by teachers into the school SIS.
Communicate with transportation companies and districts of upcoming calendar changes and inclement weather notifications.
Primary liaison between Greenwich resident parents and the Greenwich district for
Supplies and Postage
Organize the supply closet and order office supplies as
Facilitate and maintain order forms for supply requisition from teachers and supply as
Maintain and order inventory through our approved vendors
Fund postage and mail out approved mail.
Maintain and order supplies and serve as main contact with Pitney Bowes for any repairs needed.
Add postage when funds are low.
Attendance, Dismissal, and Calendars
Take requests and reserve all meeting rooms (i.e., Radar Room, HH Conference Room, Community Room).
Record and maintain daily student attendance, dismissal, and
Maintain daily study hall log and
Maintain school calendars as needed such as for athletic, activities and study hall
Work with the Athletic Director to enter athletic schedule into the parent portal
Summer School Programs
Miscellaneous tasks as assigned by directors.
Assist with copying and collating faculty folders (summer school and fall program)
Miscellaneous
Various assigned mailings/tasks
Serve as backup for support staff in their absence, (i.e., substitutions¸)
Work extended hours, if needed (i.e., parent conferences in December & May, certain “all staff” in service trainings

Experience, Skills, and Education
Three to five years of experience as an Administrative Assistant or related role required.
Administrative Assistant experience in a school setting is preferred.
